What we collect, why, and what you can ask us to do with it — in plain language.

What this policy covers

Strong & Connected is a relationship coaching practice operated by Koby Smutylo, based in Vancouver, British Columbia, and delivering sessions online across Canada. This policy explains what personal information the website and the practice collect, why, how it is handled, and what you can ask us to do with it. It is written to meet the requirements of Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA).

Information you give us directly

Contact form. When you send a message through this site we collect your name, email address, phone number if you provide one, the service you are asking about, and whatever you choose to write in the message field. That message may contain sensitive personal information about you or your relationship. We ask that you share only what you are comfortable putting in an email at this stage — the detail belongs in a session, not a web form.

Booking. Sessions and consultations are scheduled through Cal.com, a third-party scheduling service. When you book, the information you enter goes to Cal.com and is governed by their privacy policy as well as this one. We receive your name, email, the time you booked, and any notes you add.

Email and phone. If you email or call, we keep that correspondence so we can follow up and maintain continuity of care.

The relationship assessment tools

The free relationship assessments are designed to collect nothing. Your answers are processed in your own browser, are not transmitted to us, and are not stored. We do not know who took an assessment or what any individual answered.

Information collected automatically

This site uses Google Analytics to understand how visitors find and move through the site. It collects information such as pages viewed, approximate location derived from IP address, browser and device type, and referring site. It is used in aggregate to improve the site. It is not used to identify you personally, and it is never connected to session or client records.

How we use your information

Personal information is used to respond to your enquiry, schedule and deliver sessions, maintain coaching records, send you information you have asked for, and meet legal and professional obligations. It is not used for anything else without your consent.

What we never do

We do not sell your personal information. We do not rent, trade, or share it with advertisers or marketing companies. We do not add you to a mailing list because you filled in a contact form or booked a consultation.

Confidentiality, and its limits

What you discuss in a coaching session is treated as confidential and is not disclosed to anyone without your consent. There are narrow exceptions, and it is better that you know them in advance than discover them later. Information may be disclosed where there is a serious and imminent risk of harm to you or to another person, where there is a reasonable belief that a child is being abused or neglected and a legal duty to report applies, or where disclosure is compelled by a court order or other legal process.

In couples work, both partners are clients of the same engagement. That means information shared by one partner may be brought into joint sessions. There are no secrets held on behalf of one partner against the other. If that arrangement does not work for your situation, say so at the outset.

Coaching is not a regulated health service

Coaching is not psychotherapy, and coaching records are not medical records. Coaching is not a regulated health profession in Canada, which means it does not carry the statutory confidentiality protections that apply to registered clinical counsellors, psychologists, or physicians. This is stated here plainly so you can weigh it before deciding what to share.

Storage, security, and location

Information is stored on services with access controls and encryption in transit. Some of the services used to run this practice — website hosting, email, scheduling, and video sessions — store data on servers located outside Canada, including in the United States. Information held in another country may be accessible to that country’s law enforcement and regulatory authorities under its laws. No system is perfectly secure, and no absolute guarantee can be given, but access is limited to what is necessary to run the practice.

How long we keep it

Enquiries that do not become engagements are deleted within roughly a year. Records relating to coaching engagements are retained for as long as needed to serve you and to meet legal and insurance obligations, and are then securely destroyed.

Your rights

You can ask what personal information is held about you, ask for a copy of it, ask for corrections, withdraw consent, or ask for your information to be deleted, subject to any records we are legally required to keep. Email koby@strongandconnected.com and we will respond within 30 days.

Children

This website is not directed at children. Where coaching involves a teen, a parent or guardian is involved in the arrangement and consent process as described during the initial consultation.

Changes to this policy

If this policy changes materially, the updated version will be posted here with a new date.
